Our global SaaS client is looking for a full-time Marketing Coordinator – Events. This is a fully remote position.

As the Marketing Coordinator, Events you will utilize your event organizational, project management, and collaboration skills to assist the US Field Events Team in planning and executing third-party events across various industries and audiences.


You will be an integral part of a close-knit team that is responsible for executing a diverse range of events. You will bring to the position a solid understanding of event logistics and proven success in supporting both live and virtual events.

Our Event Managers work closely with internal and external stakeholders to understand, define, coordinate, and project-manage all deliverables, timelines, and milestones associated with tradeshows and other events. They are the facilitators and conduit between many teams, executing tradeshows and events across all client brands and solutions. As the Marketing Coordinator, Events you’ll play a critical role in providing logistical and administrative support to that team. You’ll contribute to the overall success of the events by assuring smooth operations, providing feedback, and working closely with the Event Managers to support each event and department functions.

Required Skills & Experience
  • Bachelor’s Degree, with 2+ years in Event Management
  • Experience supporting the planning and execution of small and large-scale live and virtual events
  • Strong interpersonal, written communication, and problem-solving skills
  • Ability to proactively address constraints using proven problem-solving skills
  • Multi-tasker who is comfortable working in a fast-paced environment
  • Ability to manage multiple priorities to execute high quality deliverables
  • Keen attention to detail and the ability to think and plan strategically
  • Demonstrated experience working with cross-functional teams
  • Willing to find creative ways to do more with less, while staying on budget

  • Working knowledge of MS Office Suite and standard workplace technologies
Desired Skills & Experience
  • Event experience in Tech, Professional Services, or Financial Services
  • Prior Field Events and/or tradeshow experience
  • CMP certification
  • Strong diplomacy skills
  • Strong ability to negotiate
  • Vendor management experience
  • Familiarity with Confluence, NetSuite, Salesforce, PowerBi, and Eloqua technologies
  • Mover and a shaker, not an order taker
What You Will Be Doing
Daily Responsibilities
 
Management and Logistics
  • Support US Field Event Team with event execution and logistics
  • Lead event supplies and branded items management; oversee inventories and place orders
  • Schedule planning meetings, build-out event playbooks and after-action reviews
  • Serve as liaison for the department with key vendors
  • Manage hotel blocks for strategic, tier 1 events
  • Manage and execute small-scale events, if needed
  • Research and vet vendors including entertainment, décor, gifts, DMCs, restaurants, and venues
  • Additional event-related responsibilities for upcoming events as defined
  Reporting and Administrative Support
  • Conduct data QA by assuring completeness and accuracy of events data to track and analyze spend and performance
  • Support the creation of department planning workspaces, and campaigns on collaborative software solutions, including Salesforce, Atlassian, Jira, Miro, Workfront
  • Assist with creation of enter-to-win process, including survey, QR code, and sign creation
  • Assist in preparing department reports as requested
  • Collect monthly credit card receipts and prepare reconciliation on Concur software
  • Submit event invoices and track PR/PO status and payments
  • Maintain US Events Calendar on client website
  • Manage Events Team and Executive Leadership Team contact lists
  • Become a power user for onsite lead management solution, exhibit asset management solution, campaign management tools
  • Develop familiarity with event KPIs
  • Other administrative support as requested
