Responsibilities include:
•    Will be responsible for support of all administrative needs of the Division Head and department. Will act as the administrative point of contact between senior management and internal/external clients.
•    Will handle senior executives' requests and queries appropriately.
•    Serve as resource for basic company policies and procedures such as vacation and expense reimbursements
•    Communicate with executives and line management to gather/convey relevant information for the day-to-day activities
•    Schedule day-to-day activities for the Global Head of the Division
•    Schedule and ensure travel arrangements and accommodations are scheduled for both domestic and international, including securing travel visa
•    Handle incoming calls, respond to inquiries, clarify company policies and procedures
•    Maintain frequently changing calendars through Outlook
•    Coordinate all aspects of executive level appointments, meetings, receptions and conference calls
•    Prepares and reviews materials and correspondence for meetings
•    Assist with creation/modification of presentations, spreadsheets, and other various documents
•    Prepare, reconcile, and track expense reports through T&E system
•    Order supplies and process invoices through P2P system
•    Organize and secure highly confidential company and employee information
•    Assist in ad-hoc reports special projects as needed
•    Serve as back up support for other managers or administrative staff when required

Qualifications:
•    Bachelor's/University degree or equivalent experience
•    5+ years of experience as an Executive Assistant, supporting a global head/managing director 
•    Previous office administration experience preferably within a large and complex financial services or similar organization
•    Highly proficient in MS Office: Outlook, Word, Excel, PowerPoint
•    Prefer experience with MS Project, Visio, or Access
•    Demonstrated ability to quickly gain command of new systems
•    Excellent English grammar and spelling required. Consistently demonstrates clear and concise written and verbal communication skills.
•    Strong technical, analytical, organizational, interpersonal, project management, and verbal and written communication skills
•    Strong diplomacy skills with the ability to maintain confidentiality
•    Demonstrated work ethic, capable of disciplined self-motivation and commitment to the highest standards of professional integrity, maturity, and judgment
•    Strong project management skills
•    Ability to multitask and work effectively under pressure to meet deadlines
•    Highly organized with a strong attention to detail
