Position:  Admitting Worker
Location: San Francisco, California, 94143
Term: 4 months (19-Oct-2020 - 26-Feb-2021)

Day-to-day Responsibilities

  • Process telephone reservations for transfer of patients from acute care hospitals to Client Medical Facilities.
  • Obtain necessary paperwork for transfer from referring hospital, including demographic information, insurance information, and clinical history. Enter registration information in APeX for inpatient visit.
  • Verify insurance eligibility and benefits with third party payers and enter data in APeX. Obtain authorization for inpatient stay from insurance companies.
  • Obtains urgent and direct admit reservation information including demographic, financial and clinical data from varied sources, and communicates bed request to nursing units.
  • Financially screen patients accepted in transfer for discount, estimate charges for self-pay admissions, and deposit requirements according to Medical Center Financial policies.
  • Communicate to all parties (physicians, case managers, nurses supervisor) changes in status of transfer, including deferring transfers when appropriate, based upon documented relevant information.
  • Track all expected patient arrivals throughout the day using admission lists and communicating with nursing areas. Coordinates bed placement for patients.
  • Maintains and reviews data collection worksheets and related reports for accurate statistical purposes.
  • Perform other functions as required, including providing back-up coverage in other areas of Admitting.
  • Discuss potential bad debt patients with medical staff to determine appropriateness of treatment at Client Site.
  • Handle complex financial arrangements for patients who cannot meet payment requirements. Collect patient liability portions.
  • Responsible for full census reconciliation on each shift.
  • Complete the admission process for patients in the Emergency room that need to be admitted.
  • Receives and relays messages from patients, families and staff to the appropriate personnel in a timely manner
  • Verify patients identity and enter
  • patient identifier data in Apex following Medical Center protocol.
  • Confirm and document in Apex patient’s family/friend/designee and preferred language for updates from OR or physician
  • Coordinate communication between all applicable medical center units and physicians with patients, family, and approved visitors.
  • Adhere to red flag protocol, refer Red Flag Alerts to Admitting supervisor
  • Provides on-the-job training for new staff.
  • Obtains urgent and direct admit reservation information including demographic, financial and clinical data from varied sources, and communicates bed request to nursing units.
  • Initiates boarding of patients to alternate units during times of peak census activity utilizing patient boarding matrix.
  • Communicates all placement difficulties to Patient Placement Assistant Manager and Critical Care Nursing Supervisor.
  • Track all expected patient arrivals throughout the day using admission lists and communicating with nursing areas.
  • Maintains and reviews data collection worksheets and related reports for accurate statistical purposes.
  • Responsible for full census reconciliation on each shift.
  • Facilitates floor to floor transfers of patients and updates visit histories in Apex.
  • During graveyard shift, perform all Admitting functions, including patient interviews, processing of ED admissions and Urgent admissions.
  • Perform other functions as required, including providing back-up coverage in other areas of Admitting.
  • Ability to work flexible hours, including weekends, holidays, overtime and shifts as assigned

  • This position requires flexibility to orient and work at all Client locations.
  • AA degree or equivalent years of related experience and education
  • Two (2) years’ experience at the Sr. Admitting Worker or comparable level
  • Proficiency in health insurance eligibility and authorization requirements
  • Proficiency in reimbursement financial policies
  • ADT experience required, knowledge of office machines; typing 30 wpm. Must have basic PC skills
  • Ability to problem solve; ability to analyze data and recommend changes
  • Must be able to multi task and prioritize
  • Ability to follow instructions; work quickly and accurately in a fast paced environment
  • Analytically and grammatical skills are necessary to communicate effectively verbally and in writing
  • Articulate and concise oral communication and the ability to write clearly and concisely
  • Must have strong customer service skills.
  • Ability to work collaboratively with a culturally diverse staff and patient/family population.
  • Ability to work independently with minimum supervision.
Even Better if you have:
  • Second Language
  • Previous experience in hospital setting
  • Basic knowledge of Medical Terminology
  • Knowledge of government program regulations, MediCal, Medicare, MIA, CCS, and other third party payors
