Senior Benefits Manager, US and Canada Operations (Remote)

JOB SUMMARY: Responsible for managing and providing leadership to the Benefits operations and delivery team across all benefits including Health and Welfare, Retirement and Financial and Physical Wellness. Plans, directs, and controls the activities and staff involved in the implementation and administration of the Company’s employee benefit programs. Serves as subject matter expert and provides guidance to employees as required. Develops processes and procedures to drive department efficiencies.


Interface Management:

  • Expert knowledge of all benefits related interfaces.
  • Expert owner of all Benefit interfaces supporting all U.S. and Canadian benefits including:
  • HRIS outbound: Coordinate interface specification updates, as necessary, to include the content, layout and transmission frequency. Analyze plan documentation, define and document project and day-to-day requirements.
  • Payroll Inbound: Work with various payroll departments to assure benefits are setup and deducted in accordance with the payroll calendar and benefit plan specifications. Coordinate any deduction code/wage type additions or changes. Facilitate project and year-end testing.
  • Vendor outbound: indirectly supporting all ben admin carrier files, and other downstream interfaces.
  • New Programs: Upon notification of a new plan/program, identify the file requirements to support and working with the PM on implementation. Also includes changes to existing programs. Develop and manage comprehensive project plan for implementation, ongoing day-to-day administration and or plan wind-ups. This includes developing and managing all user acceptance test plans (UAT).

Process efficiency/management:

  • Act as a solutions architect assessing chronic data issues and manual processing that could be solved programmatically.
  • Provide guidance of research and resolution of interface related issues, including the error reporting process.
  • Work with benefits team to help support the benefits website and corresponding administrative system.
  • Coordinate website content and navigation updates and supports end-to-end UAT
  • Evaluate existing procedures and identify optimal solutions, whether administrative or systematic, to improve internal processes and ultimately user experience.
  • Collaborate with other internal departments (HRIS, Payroll, Tax, Compliance and others as necessary) to ensure operational success.
  • Supports feedback documentation and enhancement cycles.
  • Support Benefits Department in all aspects of Open Enrollments (U.S. and Canadian).
  • Builds strong relationships with internal and external partners to help ensure optimal process satisfaction.
  • Document recommendations to be presented to leadership team for approval.

Data Integrity management:

  • Provide guidance, including but not limited to compliance, vendor utilization, external relationship management/utilization to all business segment representatives
  • Responsible for overseeing processes and procedures to ensure the accuracy of benefits data in the system.
  • Responsible for all benefits related report generation and dissemination.
  • This includes ad hoc reporting as requested and regularly scheduled reporting of benefits data, benefits metrics and dashboards.
  • Identify potential areas of compliance vulnerability and risk and provide general guidance on how to avoid or deal with such situations.
  • Manage external (IRS, DOL, HHS) audits of benefits data especially with regard to benefit deductions and compliance.
  • Manage internal compliance audit and monitoring activities (SOX, systems, procedures and processes).
  • Act as escalation point for issues with compliance risk (e.g., tax implications, legal ramifications, etc.)

Systems Analyst:

  • Providing consultative and operational support to any initiative that falls under Benefit Operations.
  • Ensures all benefit vendor payments/billing is monitored frequently in an effort to streamline costs and invoicing processes for vendors.
  • Contributes to creating departmental budget.
  • Responsible for frequent and proactive communication on operational execution and delivery.
  • Creates and uses formal processes and tools to manage resources, budgets, risks, and changes.
  • Ad-hoc project lead as needed for items that require involvement from Benefit Operations


  • Provides formal supervision to individual employees within single functional or operational area.
  • Approves subordinates' recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination.
  • Effectively recommends same for direct reports to next level management for review and approval.
  • Plans and monitors appropriate staffing levels and utilization of labor, including overtime.
  • Prepares and delivers performance appraisal for staff.
  • Mentors and coaches team members to further develop competencies.
  • Leads by example and models behaviors that are consistent with the company's values.

  • Bachelor's degree (BA/BS) from 4-year college or university and a minimum of 7 to 10 years of related experience and/or training.


  • Ability to comprehend, analyze and interpret the most complex business documents.

  • Ability to write reports, manuals, speeches and articles using distinctive style.
  • Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups.

  • Conducts financial/business analysis including the preparation of reports.

  • PeopleSoft HRIS knowledge.
  • Project management experience implementing new programs and managing large scale projects.
  • Expert knowledge of data interfaces and multi-system connectivity.
  • Excellent consultative problem-solving skills.
  • Strong communication and presentation skills.
  • People management and development.

SCOPE OF RESPONSIBILITY: Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results. Responsible for setting department deadlines. Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
