Position: Risk Management  Analyst
Location: San Francisco, California, 94143
Term: 5 weeks (12-Oct-2020 - 13-Nov-2020)

Day-to-day Responsibilities:

  • Support to the Executive Director and 6 Risk Management Staff (90%)
  • Provides analytical, claims management and administrative supports the Executive Director in all capacities including, but not limited to, daily schedule and all written, telephone and e-mail correspondence, exercising sound, professional judgment in accordance with the Client customer service standards.
  • Conducts telephone intake for Risk Management Consultation calls, responds to questions within scope of knowledge and triage for review by other risk managers
  • Reviews medical/legal cases (70+ on going cases at any time), consolidates the information, writes a synopsis of the case and settlement memo for senior management.
  • For Office of the President, independently drafts report on significant patient complications, providing an overview of the situation and resolution.
  • Supports the Risk Manager in scheduling meetings between Client constituents.
  • Responds and supports employees who have questions as to why they are being called into a meeting of a very sensitive nature.
  • Researches medical records for pager calls taken by Director. Develops a synopsis based on medical record review and updates the database with their research.
  • Processes, proofreads, edits, and distributes policies and procedures, confidential letters, reports, legal reports, minutes, and other documents; review, analyze and summarize reports.
  • Maintains confidentiality of all information
  • Based on research, independently develops responses on behalf of the Director to requests and inquiries from other facilities and executives, and outside organizations and agencies.
  • Coordinates all travel arrangements, reimbursements and itineraries for the Director.
  • Responsible for triaging and prioritizing telephone calls based on urgency, patient safety and potential liability. Triages and responds to daily calls (10 – 15 per day) regarding urgent situations or clinical matters. If no one is available, incumbent independently manages the call.
  • And resolves the matter. If the call needs to escalated, determine appropriate member of the team to handle the issue and provides them with background on the situation. Serves at the point of first contact for risk management issues related to patient care, medical staff, clinical research activities and other risk consultations. Deals directly with patients, their families or caregiver regarding their concerns/issues.
  • Manages telephone calls and other communication to the Risk Management office for risk consultations.
  •  Assists in review and investigation of complaints, potential claims and adverse events, which
  • includes independently reviewing medical records and other clinical documents.
  • Accepts subpoenas for Client providers and employees
  • Manages the PINS log related to potential claims reportable to UCOP.
  • Manages the Database for all claims and lawsuits brought against UCSF and its providers. Manage medical record tracking database; liaison with HIMS, Pathology, numerous clinics and practices to obtain confidential documents, files or records; Manage and reconcile several other tracking logs, including root cause analysis claims, evidence, storage, contacts, bill holds/waivers, credentialing; provide data analysis as needed
  • Maintains, monitors and facilitates the Professional Liability certificates of insurance online database (Alliant) for UCSF faculty/staff ; provide training and support to users; respond to all queries from internal/external individuals about certificates of insurance requests including coverage issues, agreements, production of appropriate malpractice certificates and the yearly renewal process
  • Performs credentialing reports and claims history reports for Client Staff Office and external hospitals and institutions as requested
  • Manages RL solutions Risk Consultation database
  • Manages the set-up of litigation and request for compensation claims folders and maintains these folders throughout the pendency of the claim
  • Manages file closure, record retention and storage for claims files, credentialing reports and other departmental material
  • Works independently, as well as in teams, to gather, analyze, and report on information pertaining to the development, organization and/or completion of special projects and presentations.
  • Coordinates special projects as assigned by the Director, ensures timelines are met.
  • Identifies enhancements, designs and maintains interdepartmental, systems, processes, procedures, etc., to facilitate workflow
  • Conducts literature research on professional liability related topics as requested.
  • Organizes and plans the PARS annual meeting with outside vendor and internal messengers.
  • Coordinates the production of the agenda material and Reports of the Risk Management Committee,
  • Allocation Committee, Task Force on Test Results, Behavioral Task Force Committees and other

  • Understands and acts as a departmental resource for Client administrative focused policies (i.e. travel, purchasing, time keeping). 
  • Coordinates special projects as assigned by the Executive Director. Ensures project timelines are met.
  • Assists with recruitment activities, including speaking with candidates and serving as contact person, making interview arrangements, (travel, meeting set up, expense re-imbursement).
  • Organizes and actively manages the administrative work of the Risk Management Committee,
  • Allocation Committee, interface to Executive Medical Board and Governance Advisory Committee, and other committees as assigned.
  • Schedules rooms, notifies all committee members of meeting dates and locations for year.
  • Schedules follow up meetings as directed.
  • Manages the reporting calendar.
  • Updates and distributes committee materials and may draft the meeting agenda.
  • Provides information and assistance to committee members upon request, which includes research and analysis. 
  • Provides the committees with project management support; ensures assignments and/or materials are completed on a timely basis.
  • Initiates correspondence regarding issues discussed in committee meetings.
  • Maintains updated list of committee members, attendance records and committee issues.
  • Communicates with presenters to confirm attendance and ensure timely receipt of reports.
  • Order food for Risk Management and Allocation Committees.
  • Assures documents and files are up to date, and organized (both electronically and in binders).
  • Additional duties as assigned.
  • Departmental & Office Management (10%)
  • Advises staff on administrative procedures and processes.
  • Acts as a resource to other administrative staff within the Division.
  • Manages all office operations; including inter-office and external mail, and IT change request
  • Coordinates the ordering of office supplies and researches/recommends equipment as needed, staying within budgetary restrictions.
  • Expeditiously processes invoices and check requests for payment
  • Maintains records of expenses.
  • Is the point person for property management, emergency response and notification.
  • Coordinates activities with the property manager and Client Facilities Management Dept.
  • Maintains departmental electronic and paper folders and distribution lists.
  • Ensures office space and equipment for new hires/transfers is operational on their start date.
  • Coordinate all facets of Departmental events
  • Coordinate and organize special events
  • Secure venue, maintain invitee list and RSVPs, create invites, select a menu if applicable and work with Director to arrange and finalize details.
  • Provide expertise in designing events, coordinate, direct, and monitor all production and technical presentation aspects of business events.
  • Ensure all details and printed materials available for attendees.
  • Remain within budgetary guidelines/restrictions
  • Follow proper Client  policies and procedures for payment and recharge.
  • Establish and maintain relationships. Interact with a variety of people and communicate effectively. Understand organization’s goals for the meeting or event and be able to communicate needs clearly to meeting site staff.
  • Departmental Payroll processing in the Client timekeeping system (HBS).
  • Communicates the Payroll Processing Policy and procedures to new employees to ensure  employees are paid accurately and in a timely manner. .
  • Teach new employees how to edit, correct, and submit HBS entries before biweekly deadlines and act as backup for this activity if employee is unable to correct time sheet.
  • Manage time sheets for temporary employees
  • Provide back up support to the System Administrator of the online incident reporting system
Is this a good fit? (Requirements):
  •  Bachelor’s degree or 3 - 5 years applicable work experience or a combination of education and experience.
  • Two to three years of working in a health care environment with proficiency in high level administrative and analytic support
  • Demonstrated competency in clinical risk management practices and claims administration.
  • Excellent analytical and independent problem-solving skills in a fast paced deadline driven environment.
  • Excellent organizational skills, ability to work independently, and ability to work with others to
  • coordinate multiple projects; ability to meet deadlines.
  • High level proficiency in Microsoft Office Suite (including Word, Excel, Access, PowerPoint), Adobe Acrobat document development and Visio.
  • Knowledge of Excel (Access) software program. Ability to run analytical (excel and other) reports and summarize information.
  • Excellent communication skills (oral and written).
  •  Ability to function independently and within a team with minimal supervision, demonstrating excellent judgment, attention to process and detail.
  • Ability to interact with all levels of staff and ability to set priorities and manage multiple demands effectively.
  • Ability to exercise professional judgment in handling sensitive and confidential issues with discretion.
  • Able to prioritize work and escalate concerns to the Executive Director
