Title: Payroll Coordinator
Location: Remote
Type: Contract - 3 months

Our client is seeking a Payroll Coordinator. 

Responsibilities:
  • Executes time sheets and attendance processing and ensures that these interface with the payroll system
  • Review and input timecards manually or through electronic import into payroll software and ensure that the required signatures are obtained
  • In conjunction with the Payroll Manager, this individual assists with the evaluation and analysis of existing payroll policies, procedures, and business processes. They comply with the regulatory standards and policies and procedures of payroll
  • May be required to supervise, mentor and coach more junior payroll employees on the day-to-day activities and payroll related tasks, prioritization and work planning
  • Processes supplemental payroll entries such as sales incentive pay, bonuses, on call and other similar items. Also, processes any off-cycle payments and coordinates with finance, as necessary, for issue of those payments
  • Responds to routine employee inquiries and will involve the appropriate internal employees, as required, for the most efficient and accurate resolution
  • Execute payroll reports for Finance, HR and others as required
  • Proactive employee communications, e.g. new hire onboarding, garnishments, tax locks and timecard issues
  • Coordinates queries and cases with payroll processing vendor related to garnishments, tax or other relevant topics
  • Supports HR team including Comp/Benefits Specialists, HR Coordinator and the HR Operations Director, as appropriate
  • Assists Finance with any questions related to the balance of the payroll entries to the GL
  • Completes regulatory reporting not supported by third party payroll processing vendor
  • Prevailing wage compliance and to include documentation completion and payment processing
  • Assists with the finalization and sign off of all on and off cycle payrolls - includes conducting a series of audits in compliance with our external auditors and organized housing of those audits on our payroll share drive
  • First line point of contact for all tax questions or issues, including amendment processing
  • Assists in yearend activities to include negative wage reports, W2 preview audits, W2 error reporting and W2 box configuration review
  • Keeps up to date with federal, state and local law as it relates to payroll and tax laws and practices and implements changes as necessary
  • Proactive communication to employees on all payroll related matters
  • Assists with payroll audits to include but not limited to 401k audits, workers comp audits, KPGM audit and internal audits

Requirements:
  • Bachelor's degree with a focus in Human Resources, Business or Accounting
  • 5-7 years minimum of Payroll, Accounting/Finance or HR experience (preferable in an IT environment)
  • Ability to exercise appropriate discretion when working with confidential and sensitive matters where information is essential
  • Excellent attention to detail and conscientious approach to record keeping
  • Good grammar, writing and verbal communication skills
  • Good problem solving and decision-making skills
  • Daily job performance will include customer service to employees throughout the organization
  • Must be able to perform multiple tasks while maintaining priorities; high level of organization required in a dynamic environment
  • Professional and personal disposition
  • Proficient use of Microsoft Office Suite (Word, Excel)
  • Excellent interpersonal and team skills
  • Self-motivated and wiling to learn
